SCHEDULE:
Monday - Friday.
3 Days 9AM to 5PM and two days from Noon until 8pm.
(Remote days will vary per week, and you cannot choose which days are Noon to 8PM.

Summary:
The Administrative Assistant is responsible for managing a variety of administrative procedures and systems associated with the clinic; becoming familiar with and understanding policies and procedures associated with the internal and external reporting requirements; and maintains full compliance with the federal confidentiality regulations governing substance abuse records as outlined in 42 CFR Part 2 and HIPAA.
The Administrative Assistant is granted full access, use and disclosure authorization relative to protected client-related health information.
Essential Duties and
Responsibilities:
1.
Provide coverage for time off requests/call outs and assist with coverage of time sensitive projects associated with client benefits services.
2.
Assist Client Services Coordinator with obtaining benefits/assistance for clients from all programs for which they may be eligible.
3.
Verify appointments, answer telephone inquiries and provide referral information when needed, in addition to regular office functions.
4.
Verify benefits, including daily verification of Medicaid eligibility in epaces; verify and obtain insurance authorization prior to providing services.
5.
Complete data entry in Electronic Health Record (EHR) for evaluation/assessment appointment.
6.
Complete initial fee assessments for every client to verify Medicaid, Managed Care, and insurance benefits, or to determine if the client is eligible for a sliding scale fee.
Update every three (3) months or when changes received regarding client's financial status.
7.
Ensure certain services, client payments and balances entered in EHR are accurate by using internal reports as instructed.
8.
Maintain daily client roster and prepare monthly statistical reports for submission to regulatory bodies.
9.
Provide follow-up for all outstanding claims and balances accruing to the program, including the monitoring and collection of Accounts Receivable and client co-pays.
10.
Become familiar with Medicaid, Managed Care and Insurance procedures to ensure third party reimbursement for services.
11.
Work closely with centralized billing to provide follow-up for insurance denials as presented by the billing department.
12.
Prepare daily banking of self-pay fees; generate daily deposit report and forward deposit data to Finance at CCCS.
13.
Order supplies through the Administration office; maintain office and cleaning/maintenance supplies.
14.
Dispatching and monitoring Outpatient transportation, i.
e.
dental, eye exams, etc.
15.
Responsible for mail pick up, drop off, and delivery of agency mail internally.
