We are currently hiring for our next Operations Specialist in Walden, NY.
The Operations & Admin. Specialist will be responsible for ensuring administrative and compliance processes and practices are properly rolled out at the Walden Cidery. The Operations & Admin. Specialist will also be responsible for overall inventory practices and procedures at the cidery. This individual will report to the General Manager and will work with the team to develop, execute, measure and continuously improve the cidery thru coordinating reporting and operations efforts between all departments. This position will support the cidery through developing and executing the overall training of the team on administrative and compliance functions.
This role is responsible for managing the cider inventory throughout the facility, and acts as the key point of contact for the BBC Operations, Legal and Finance teams for weekly and monthly reporting needs (production, shipments, inventory, TTB reporting, etc.). The Operations & Admin. Specialist may participate or be asked to manage special projects, including by not limited to; capital Improvement, process development, safety projects and improvements that may involve internal and external customers, cross functional teams, management, contractors, vendors, and other.
What You'll Do:
Handles any and all daily, weekly and monthly back of house, inventory and financial reporting that needs to be reviewed and submitted.
Request, verify, and coordinate Part Numbers, recipe costing and SKU generation for all ciders produced, before they need to go on tap.
Request creation of keg cover artwork and order sticker sheets as needed.
Coordinate distributor pickups and inter-cidery transfers.
Assist and support the cidery with planning needs and coordination between Taproom/Tour Center projections and availability of finished goods for retail
Perform, train and oversee accounting and inventory practices, reconciliations and reporting
Advises Tour Center management, Cider Production Manager and Head Cider Maker of finished goods inventory needs at the retail level based on projections and sales.
Must be able to drive a forklift- must have or get a current hoisting license.
Participates in planning, manage and monitor inventory levels at the cidery to meet demand.
Coordinates needs and requests for production and manages on hand inventory levels within the Cidery with the volatile dynamic and unpredictable demands associated with the Taproom, Cider Garden, and/or new markets or demands.
Partners with the Cidery team as the first line of defense and point of contact with BBC for local cidery planning, inventory and production levels.
Manages the keg and bottle inventory in the cooler, tracks, verifies and reconciles all inventory signed into and out of the cooler, and maintains organization and FIFO best practices in the cooler
Manages and/or oversees:
Accounts payable/receivables
Shipping and receiving
Coordination of empty container returns and transfers to other BBC locations
Coordination of "destroy cider" and faulty keg shipments to other BBC locations
Coordination of glass and packaging shipments from warehousing, including arranging LTL shipments as needed
Inventory counts for cider, ingredients and POS (as applicable)
Sales tax reporting
Goods receipts in SAP (including related PO requests)
Sales order preparation and processing in SAP
Assist in TTB reporting-related matters
Bills of Lading
Asset disposal paperwork when necessary
Reconciliation of donation/cider sign out sheets for TTB reporting
Acts as the IT Liaison (within the cidery and BBC IT, vendors and service providers) Security Systems administrator- Cards, card readers, cameras, alarms, etc.
Assist with Landlord relations as a local point person.
Coordinate waste and recycling pickup.
Coordinates with Cidery team for supply purchases
What We're Looking For:
Bachelor's Degree in business administration, Analytics, or equivalent education and experience
2 plus years in operations and/or logistics, including scheduling, service, and inventory in a rapidly growing and expanding wholesale/retail environment. Experience in project planning and management, budgeting/financial management a plus.
Organizational development education, training and/or experience.
Rapidly growing, entrepreneurial and/or logistics experience in a matrix/complex organization.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
